Summary and Objectives
Office administrators, also known as office managers, are responsible for general administration tasks within an office environment. Plays a primary role in ensuring that all office administrative functions are coordinated to achieve a high level of productivity within the company.
Specific Tasks and Duties:
• Primary custodian of all restaurant keys
• Proper dissemination and explanation of memos (Promos and Policy) to the staff and tenants
• Monitor submission and details of daily reports
• Check bag and tickler of restaurant staff before and after each shift
• Ensure that all common area staff is wearing proper uniform and comes to work on time
• Ensure that servers are following 10 steps of service regularly
• Ensure that servers keep themselves busy by doing other tasks during operation
• Make sure that fire extinguishers are up-to-date
• Plan, assign and ensure that servers are taking care of their designated area
• Ensure that Admin OICs are assisting the common area and dishwashing area staffs following the standard protocols
• Make sure that staff are following their duties and responsibilities
• Must be able to handle guest complaints and provide immediate recovery
• Ensure that guests receive value for money in terms of service and food quality delivered
• Provide regular training on product knowledge especially on call center agents
• Ensure that the petty cash and change is enough and replenished regularly
• Make sure that stock room is clean and organized
• Check if business permits are updated and visible on the designated area
• Report and update damage fixtures (shelves, locks, lights, AC, telephone, CCTV, tables, chairs)
• Report all unusual events to immediate leader (on the day of occurrence)
• Lead by example and be a role model to the team
• Ensure high standards of cleanliness in the restaurant
• Analyze all customer feedback, learn from it, and provide action plans
• Hold monthly general meetings
• Manage the compliance of Legal and policies and procedures for food safety and health and safety; check for understanding and confirm best practice is adhered to
• Keep the restaurant secure against fire, theft, and other means of danger that could cause damage to the property
• Lead, supervise, and coach restaurant team members to maintain high level of customer experience
• Ensure all team members are fully trained to fulfill their role as documented in their job descriptions
• Develop and implement initiatives to promote our vision and values
• Champion the vision and values of the business
• Coordinate office activities and operations to secure efficiency and compliance to company policies
• Supervise administrative staff and divide responsibilities to ensure performance
• Manage phone calls and correspondence (e-mail, letters, packages etc.)
• Support budgeting and bookkeeping procedures
• Create and update records and databases with personnel, financial and other data mainly on tenant files
• Track stocks of office supplies and place orders when necessary
• Submit timely reports and prepare presentations/proposals as assigned
• Updates and monitor call center order forms of all tenants
Skills and Experience:
• Good verbal and written communications (English and Tagalog)
• Good analytical skills and attention to details
• Good organization, planning, delegation and prioritizing skills
• Proficient in MS applications, Excel, Word and PowerPoint Behaviors
• Service and guest orientated
• Team Player, work together as a team to achieve the goals set out by management
• Approachable and be able to speak communicate well to colleagues and top managers
• Self-motivated, innovative and proactive
• Positive, energetic and passionate about service and food
