JOB DESCRIPTION

Office Admin:

  • Reports directly to Office Admin Senior Supervisor
  • Shows good conduct consistent with the company standards during work and within the AGSC premises.
  • Performs a wide range of administrative and office support activities.
  • Performs related job/duties as may be assigned by the management from time to time.
  • Creates and manages the files for office equipment manual, warranty, etc.
  • Ensures operation of equipment such as air- conditioning units by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories
  • Oversees and supervises the work of janitors and security guards.
  • Compile janitors’ and security guards’ work hours and verify attendance.
  • Oversees responsibilities of utility staff and security staff.
  • Coordinates with the agency when necessary.
  • Coordinates with the Building Admin. Officer when necessary.
  • Prepares and submits incident reports to the HR Manager for any damages or loss in the facilities.
  • Encodes the DTR of the housekeeping and security personnel.
  • Reviews the attendance report of the housekeeping and security personnel.

Inventory:

  • Facilitates monthly inventory of office, janitorial, and pantry supplies.
  • Prepares and submits Monthly Inventory reports for office, janitorial, and pantry supplies.
  • Facilitates tagging of inventory stickers.
  • Inputs items in the inventory system.
  • Prepares and issues Accountability forms to the employees.
  • Conducts inventory for leased assets including furniture, fixtures, lockers and locker keys, and company-owned properties.
  • Safekeeping and control of all accountable items in the stock room.
  • Records the inventory movements, issuance, and temporary issuance (employees borrowing office supplies/ equipment).
  • Performs periodic reconciliation of inventory records and physical inventory balances on stockroom reports to ensure that movements of inventories are completely documented and recorded.
  • Maintains accurate, and complete records of all inventory transactions; performs a physical count of inventory and reconciles actual count of inventory to system count.
  • Communicates inventory problems to Office Admin Senior Supervisor promptly.
  • Prepares monthly inventory report including the details on items in the inventory, transferred-in/out, and ending inventory.
  • Documents any unaccounted variances, missing items, exceptions, and observations related to inventory.
  • Inspecting deliveries to ensure they match with Purchase Order.

Office, Janitorial, and Pantry Supplies Management:

  • Monitors daily consumption of janitorial, office, and pantry supplies.
  • Conducts weekly inventory of supplies.
  • Prepares Purchase Requisition forms.
  • Coordinates with different suppliers, vendors, etc.
  • Receives deliveries and distributes supplies to the concerned department.

Housekeeping:

  • Maintains a Checklist of daily sanitary recordings
  • Monitors cleaning, upkeep, preventive maintenance of the office, other properties, fixtures, cleanliness of glass and partitions, facades, pathways, maintaining sanitary of facilities, and regularly painting and cleaning walls
  • Manages & supervises all outsourced or Janitorial subcontractors
  • Provides and assign a sufficient number of outsourced Janitorial Subcontractors
  • Conducts daily/weekly/monthly facilities audit
  • Performs and conduct 5s program and training
  • Responsible for the monitoring of utility supplies
  • Monitors and Ensures Good Housekeeping Practices are strictly maintained
