What This Position Is About - Purpose

The position is responsible for providing high-level secretarial and administrative support to the Factory Lead & coordinating activities across direct reports of the Factory Lead (Management Team – MT), and carrying out tasks and requests as instructed. The Personal Assistant works with minimum supervision and handles confidential matters professionally.

What Will You Do - Responsibilities

  • Manage the General Manager’s diary to co-ordinate meetings/appointments, and to ensure the smooth running of such meetings
  • Supports the preparation of documents to fulfill legal formalities (POA, contracts, permissions). Take meeting minutes.
  • Coordinate and communicate with various departments and all levels of staff on matters directed by General Manager. Prepare and manage correspondences with internal and external parties for Factory Lead signature.
  • Attend to requests from Head Quarters and facilitate them accordingly. Ensure approval forms are prepared for the Factory Lead & MT for signature and approval e.g. leave application forms, travel approval forms, expense claims reports, etc.
  • Maintain systematic up-to-date filing and tracing systems. Maintain confidentiality of sensitive matters/issues.
  • Perform other reasonable duties assigned by the Management. A proactive approach to completing business tasks, business acumen, and willingness to develop together with the company. Compliance with EHS procedures, labour law, corporate guidance, internal regulations, and work performance instructions.
  • Understand health and safety aspects of their work and learn about potential hazards, know and maintain required control measures in order to keep their workplace healthy and safe.
  • Develop their competency to do the work healthy and safely, participate in health and safety training and receive appropriate health and safety knowledge and required qualifications, observe and follow safety signs, posters, warning signals, and written directions and instructions.
  • Know Legal and JTI health and safety requirements associated with the work hazards and comply with all applicable health and safety rules and procedures.
  • Consistently demonstrate safe behavior, and report incidents and near misses to their supervisor, the report identified unsafe- conditions and behaviors to their supervisor and eliminate them within their authority and ability to do so.

Who Are We Looking For – Requirements

  • Minimum 1 year of secretarial experience serving at the senior management level in an international company, reporting to expat is a must
  • Bachelor’s Degree in any Secretarial or Business Management/Admin course
  • Good computer skills – Microsoft Office (Excel, PowerPoint, Word, MS Teams)
  • Good command of English (written and oral)
  • Must have international environment exposure, excellent time management skills, can work under time pressure, stress-resistance
  • Willing to work for temporary employment (six months)
  • Work location Malvar, Batangas
  • Can start ASAP
